Venue Hire Customer Terms and Conditions
1. Definitions
“BookingsPlus”: the booking system for the hire of Venues
"Customer": Refers to the individual or entity booking the Venue
“Guest”: any individual invited or admitted to the Venue by the Customer
“Hiring Period”: the date and time that the Customer has booked the Venue through BookingsPlus
"Venue ": Refers to any room provided by Lambeth Council for hire through BookingsPlus.
2. Services Provided
Lambeth Council offers Venue hire for events and activities through the BookingsPlus system.
3. Booking and Payment
A deposit of 25% of the total Venue charge is required to secure the booking for the Hiring Period.
Full payment must be made no later than 14 days before the Hiring Period.
Payments can be made via credit card or debit card.
4. Cancellation and Rescheduling
Cancellations made more than 30 days before the Hiring Period will receive a full refund.
Cancellations made between 14 and 30 days before the Hiring Period will receive a 50% refund.
Cancellations made less than 14 days before the Hiring Period will not be refunded.
Rescheduling is subject to availability and may incur additional charges.
5. Venue Use and Restrictions
The Venue must be used responsibly and in adherence to any Venue rules notified to the Customer or visible within the Venue. Smoking, vaping, gambling, illegal drug possession or use, and any form of vandalism are strictly prohibited. Possession or consumption of alcohol will only be permitted if Lambeth Council explicitly authorises it.
The Venue must not be used for any political, religious, or public meetings unless authorised by Lambeth Council in advance.
The Venue must not be used for the discussion or dissemination of any obscene material or anything which may breach community cohesion or encourage the infringement of or infringe on any of the protections of the Equality Act. Lambeth Council may require the Customer to provide an agenda as a condition of maintaining the Customer’s booking.
The Customer must use any equipment installed or provided in the Venue strictly in accordance with instructions including any instructions visible on the equipment or in the Venue.
The Customer must ensure that noise within the Venue is not audible to a significant degree outside the Venue. The playing of any recorded music or other audio media must be kept to a reasonable volume that is not audible to a significant degree outside the Venue. Lambeth Council will definitively determine whether noise of any sort is audible to a significant degree.
The Customer is responsible for obtaining any entertainment licence required by Lambeth Council and any relevant performing rights licence, such as music (both live and recorded) from The Performing Rights Society, licences from the Phonographic Performance Ltd; any copyright licences; and/or any other permission necessary for activities to be conducted at the Venue during the Hiring Period. A copy of all relevant licences and/or permissions must be provided on request to Lambeth Council.
The Customer must vacate the Venue by the end of the Hiring Period and must leave the Venue clean and tidy with all furniture and equipment in the same positions as at the start of the Hiring Period. Lambeth Council may charge the Customer the cost of any cleaning or tidying up. The Customer must ensure that setting and clearing up time is factored into the Hiring Period.
6. Right of Entry and Termination of Booking
Lambeth Council officers may enter the Venue at any time during the Hiring Period if they have reason to believe that the Customer or their Guests are in breach of any of the requirements in these Terms and Conditions. If they are satisfied that there is a breach, they may in their absolute discretion cancel the Customer’s booking and direct the Customer and their Guests to leave the Venue, with which they must promptly comply. In such an event the Customer will not be entitled to any refund.
Lambeth Council officers may deny entry to the Customer or any of their Guests if they have reason to believe that they will not comply with these Terms and Conditions. In such an event the Customer will not be entitled to any refund.
7. Liability and Indemnity
The Customer is responsible for any damage to the Venue or any equipment in the Venue which happens during the Hiring Period. The Customer agrees to indemnify Lambeth Council against any claims arising from their use of the Venue.
Except where the law does not permit it to exclude responsibility, Lambeth Council is not liable for any personal injury, loss, or damage to personal property incurred in the Venue.
8. Insurance Requirements
Lambeth Council may at its discretion require the Customer to take out public liability insurance for the duration of their use of the Venue. Customers which are corporate entities must have public liability insurance in any event. Proof of insurance must be provided to the Lambeth Council upon request.
Lambeth Council holds public liability insurance for all its Venues.
9. Health and Safety
The Customer must comply with all health and safety law and with any health and safety requirements notified by Lambeth Council or visible within the Venue.
Fire exits and safety equipment must not be obstructed or tampered with.
The Customer is responsible for ensuring that the Venue is not overcrowded and must comply with any notified restriction on numbers.
The Customer must not bring into the Venue any equipment which is unsafe, or which may interfere with the operability of installed equipment. Any electrical equipment brought into the Venue by the Customer must have a Portable Appliance Test certificate. If they do not have a certificate Lambeth Council may test the equipment on the spot and will refuse entry of any equipment which fails.
If the fire alarm sounds the Customer and their Guests must immediately leave the Venue and make their way to the fire assembly point which will be shown on a notice in the Venue and to which direction signs will point both within and outside the Venue. The Customer and their guests must comply with all fire marshals’ instructions within and outside the Venue and at the designated assembly point. The Customer must be able to produce a list of all Guests who were in the Venue during the Hiring Period.
10. Compliance with Law
The Customer must comply with all laws and regulations, including data protection law. The Customer is responsible for any fines or penalties incurred for non-compliance.
For safeguarding reasons, private teachers or tutors working with children under 18 may be required to provide proof of background checks (e.g., DBS), at Lambeth Council’s discretion.
11. Privacy and Data Protection
Lambeth Council respects Customers’ privacy and is committed to protecting their personal data. All personal information collected during the booking process will be handled in accordance with its Privacy Notice, which can be accessed here: Your personal information | Lambeth Council. By making a booking, the Customer consents to the collection and use of their personal data as described.
12. Special Requirements and Accessibility
Unless otherwise stated the Venue will be accessible for Guests with disabilities. If the Customer is unsure whether the Venue will be accessible for their or their Guests’ specific disabilities, or if they have special requirements, they must check with Lambeth Council when making the booking.
13. Termination
Lambeth Council may terminate the Customer’s booking immediately without refund if the Customer breaches any of these Terms and Conditions.
14. Complaints and Dispute Resolution
Complaints by the Customer must in the first instance be made to:

The governing law for these Terms and Conditions is the law of England and Wales.
15. General Provisions
The Customer is responsible for ensuring that their Guests comply with these Terms and Conditions as far as they are relevant to or pertain to their Guests.
Neither Lambeth Council nor the Customer will be liable for any failure to perform their obligations due to causes beyond their reasonable control, and in such circumstances Lambeth Council will refund the Customer.
These Terms and Conditions constitute the entire agreement between Lambeth Council and the Customer. By booking the Venue hire and making payment the Customer confirms that they agree to these Terms and Conditions.
